Our client, one of the largest independent equipment leasing and finance companies in the the U.S., has engaged Molloy Associates to identify a highly organized, detail-driven Documentation & Funding Administrator to play a critical role in transforming approved equipment finance transactions into funded deals.

This isn’t a role where you’re simply pushing paperwork. You’re the operational backbone of the transaction. Your work protects the company’s legal position, keeps funding on schedule, supports sales, builds customer confidence, and ensures vendors get paid on time.

With more than $4.5 billion funded across equipment, technology, aircraft, and complex projects, our client provides private-credit solutions that go beyond traditional lending.

What You’ll Own

You’ll take ownership of the documentation and funding process from initial document request through booking and funding, working closely with Sales, Credit, Syndication, Accounting, customers, vendors, and funding sources.

Your responsibilities will include:

  • Preparing and auditing complete lease and loan documentation packages
  • Assembling master leases, equipment schedules, promissory notes, guaranties, riders, and other transaction documents
  • Preparing and filing UCC Financing Statements and coordinating lien perfection
  • Obtaining landlord waivers, mortgagee waivers, subordination agreements, and non-interest letters
  • Reviewing insurance certificates and organizational/signature documentation
  • Coordinating vendor invoices, deliveries, acceptance, progress payments, and final payments
  • Preparing complete funding packages and resolving documentation exceptions
  • Maintaining accurate deal information in LeasePlus and Salesforce
  • Communicating proactively with internal and external stakeholders to keep transactions moving
  • Ensuring files are complete, organized, compliant, and audit-ready

What They’re Looking For

They’re looking for someone who is detail-obsessed, highly organized, proactive, and comfortable operating with a strong sense of urgency.

You’ll ideally bring:

  • 3+ years of equipment leasing/finance documentation and funding experience
  • Experience with large-ticket, complex leasing transactions preferred
  • Strong knowledge of equipment finance documentation and transaction structures
  • Working knowledge of UCC lien perfection and filing procedures
  • Experience with landlord/mortgagee waivers, non-interest letters, and subordination agreements
  • Proficiency with Microsoft Office; LeasePlus and Salesforce experience preferred
  • Excellent written, verbal, organizational, and customer-service skills

Bonus points for: paralegal experience or training, multi-state sales/use tax knowledge, or experience working with funding sources and debt syndication.
